Operations & Client Success Manager

CYORA is a precision biological advisory firm. We work with founders, CEOs and high performers who want their health operating at the same level as their business.

We run the full diagnostic picture, 70+ blood markers, gut, DNA, VO2 and body composition, decode where a client's biology actually sits, and build a clinical plan to get them to optimal. We also run live events, workshops and retreats through the year. Premium, clinical and world class in everything we deliver.

We are led by Dr Daniel Kirkbride, Doctor of Osteopathic Medicine and Functional Medicine Practitioner, alongside a small, elite clinical team.

The Role
The most important non-clinical hire we will make this year. You own the entire client experience outside the coaching itself, so our clinicians can spend their hours where they create the most value: with clients.

Right now our clinicians carry too much of the admin, onboarding and client-support load, and that has to change. You will be the operational backbone of CYORA. Every client feels looked after from day one to renewal, every system runs without a clinician touching it, and nothing falls through the cracks.

You will work primarily inside our CYORA OS, Go High Level, Google Workspace and Slack, with AI tools like ChatGPT and Claude in your daily workflow. Start part-time. As you take load off the team and we scale toward 130+ clients, this becomes a full-time Head of Operations role.

What You Will Own
Client Success
The client journey from onboarding to Year 2 renewal
Proactive retention: spot churn signals early, keep everyone progressing
NPS and feedback loops, detractor recovery, promoter activation
Manage the support inbox and DMs, triage to the right owner fast
Moderate and nurture our community on Skool and WhatsApp
Operations & Onboarding
End-to-end new-client onboarding: agreements, intake, first bookings
Keep the client database accurate and every system in sync
Scheduling, billing support and day-to-day client admin
Build and maintain the SOPs that let CYORA run like a machine
Produce a weekly ops snapshot: KPIs, risks and next actions
Events & Right Hand
Help coordinate and run our events, workshops and retreats
Operational right hand to the founder, coordinating the clinical team
Coordinate VAs and contractors, assign tasks and ensure completion
Keep the logistics invisible so the clinicians never think about them
Your First 90 Days

You have absorbed our SOPs, tools and client base, taken over the support inbox and day-to-day admin, and the clinical team already feels the load lift.
0260 Days
New-client onboarding runs through you end to end, the client database is clean and in sync across systems, and no clinician touches ops.
0390 Days
You own retention and the community, weekly ops reporting is live, and you are building the SOPs and automations that let us scale toward 130+ clients.
Who You Are
A natural operator, organised and genuinely energised by making things run smoothly.
Warm and sharp with people. Clients should feel they are in exceptional hands every time they hear from you.
Proactive to a fault. You see what needs doing before you are asked, and close loops without being chased.
Calm under pressure, with a strong sense of ownership. Nothing falls through the cracks on your watch.
A real interest in health, performance and longevity.
What You Bring
2+ years in operations, client success, OBM or executive support in a premium coaching, health or professional-services business.
Proven ability to build systems and SOPs from scratch, not just follow them.
Excellent written and verbal communication, warm and professional with high-value clients.
Genuinely comfortable in a technical, AI-first environment, we run an AI-native ops stack.
Confident with a CRM (Go High Level ideal) and Google Workspace.

This Role Is Not For You If
×You need to be told what to do and chased to finish it.
×You are uncomfortable with technical tools or AI, and would rather avoid them.
×You see client admin and SOPs as beneath you, rather than the craft of the role.
×You want a quiet, predictable 9 to 5 with no ownership.
Nice To Have
Experience in health, fitness or functional medicine.
Experience managing VAs or remote contractors.
Basic automation (Zapier / Make) or light no-code and technical skills.
Community management on Skool, WhatsApp or Circle.
Gold Coast or Brisbane based for the occasional in-person catch up.
Training & Onboarding
Detailed SOPs for every platform, workflow and comms standard.
Access to our internal knowledge base and templates.
Shadowing of our key processes: onboarding, renewals and reporting.
1 to 2 live training calls a month, with Slack for day-to-day.
A clear growth path into expanded hours and Head of Operations.
